Recruitment Agency Software in Kenya: From CV Bank to Placement
Most Kenyan recruitment agencies run on spreadsheets and WhatsApp groups. Here is what changes when clients, job orders, candidates and placements share one system.
Why spreadsheets and WhatsApp stop working for agencies
A small recruitment agency can run for a while on a spreadsheet of candidates, a folder of CVs and a WhatsApp group per client. The cracks show when volume grows. The same candidate is submitted twice to different recruiters, nobody remembers which fee terms a client agreed, and a guarantee period expires unnoticed because the dates lived in one person's notes.
Agencies also hold sensitive personal data: ID and passport details, references and medical results. Under Kenya's Data Protection Act that data needs a lawful basis and proper handling, which is difficult to demonstrate from scattered files and chat histories.
Start with the client agreement, not the vacancy
Revenue in a recruitment agency is decided by the agreement signed before any candidate is sent. Clients differ: some pay a percentage of annual salary, some a percentage of the first month, some a fixed fee, some a retainer, and staffing clients pay a markup on a pay rate. Each has its own minimum fee, guarantee period, replacement or refund policy and payment terms.
A Recruitment Agency Management System stores these terms against the client so a placement fee is calculated from the agreement instead of from memory. Job orders then inherit the terms, which keeps invoicing and guarantee claims consistent.
A CV bank that is actually searchable
A CV bank is valuable only if you can find the right person in it. That means structured fields rather than attachments: skills with levels, languages, education, employment history, expected salary, preferred roles and countries, documents with expiry dates, and references. Duplicate detection stops the same candidate being entered under slightly different names, and a profile completeness score tells recruiters which records need follow-up before they can be submitted.
Consent and anonymisation belong here too. Recording when and how a candidate agreed to be considered, and being able to anonymise a profile, supports a data protection posture you can explain. A blacklist flag prevents a candidate who has previously breached an agreement from being submitted again by a recruiter who did not know.
Matching candidates to jobs before you advertise
When a new job order arrives, the cheapest candidates to find are the ones already in your database. Smart matching scores candidates against the job on skills, experience, education, salary expectations, location and languages, and applies knock-out rules for must-have requirements such as a licence or a minimum qualification. The best matches can be added to the job's pipeline in one step, before any money is spent on advertising.
Where you do advertise, cost tracking per job board shows which channels produce candidates that reach interview and placement, rather than just applications.
A pipeline with deadlines, not just stages
A kanban pipeline from applied to placed makes progress visible. What makes it useful is a time limit per stage, so a candidate who has sat in screening for a week is flagged. Screening scorecards, assessments, reference and background checks and blind CV submission all attach to the candidate's record, as do client feedback and rejection reasons. A rejected candidate can receive a regret email instead of silence, which protects your reputation with the people you will want to place next year.
Interviews, whether run by the agency or by the client, can be scheduled with panels, video links and scorecards, and offers tracked through letter, expiry and acceptance.
Placements, guarantees and early leavers
A placement triggers the fee and starts the guarantee clock. If the person leaves within the guarantee period, the client's agreement decides whether you owe a replacement or a pro-rata refund. Doing that arithmetic from the signed terms, with the dates in front of you, avoids disputes. Recruiter commissions can be calculated from the same placement record, and scheduled follow-ups after a candidate starts give you an early warning when a placement is at risk.
Contract and temporary staffing adds pay and bill rates, timesheets approved by the client, and margin per worker.
Overseas deployment needs its own checklist
Agencies that deploy workers abroad manage a longer chain: medical, visa, work permit, contract attestation, pre-departure training, ticketing, departure and arrival, each with country-specific requirements and costs, some borne by the worker and some by the employer. Worker welfare cases such as delayed salaries or repatriation also need a record that follows the worker and the client. Tracking this on a checklist per country, rather than in a personal notebook, is what lets a second person pick up a case when the first is unavailable.
Agency licences, including NEA registration, carry expiry dates. Alerts before they lapse protect your right to operate.
Portals and reporting
Clients want to see shortlists and give feedback without chasing you by phone, and candidates want to know where their application stands. A careers site, a candidate portal and a client portal answer both. For management, a dashboard that shows the funnel, bottlenecks, sources and a recruiter leaderboard turns the agency's activity into numbers you can act on.
