Avocado Farm Management Software in Kenya: Traceability, Spray Records and Export
Avocado export depends on records: what was sprayed, when it was picked, whether it was mature and which lot it became. Here is how farm software keeps them in order.
Why avocado farming is a records business
Avocados sold for export must be safe, mature and traceable. A buyer may ask which block a fruit came from, what was sprayed on it and when, and whether it passed a maturity test. Farmers and exporters who keep these facts in notebooks struggle to answer. An Avocado Farm and Export Management System turns them into records that are linked to each other.
Orchards, blocks and the nursery
Everything starts with a map of what you have: farms and orchard blocks with variety, rootstock, planting date, spacing, irrigation and tree count. Estates add GlobalG.A.P. details and certificates. A nursery module tracks grafting, takes, losses and seedling sales, so gap filling and new planting can be planned.
Spray records and the pre-harvest interval
Every spray should be recorded with the product, the PCPB registration number, the date and the pre-harvest interval, which is the time that must pass before harvest. A system that blocks harvesting until the interval has run out prevents a costly mistake. Scouting records, quarantine pest thresholds and residue test results sit alongside, so follow-up sprays are triggered by evidence.
Maturity: dry matter before harvest
Avocado maturity is judged by dry matter, measured against a threshold for the variety. Picking or buying fruit that has not passed can damage a buyer relationship and a market. Requiring a passing test before harvest or intake turns a guideline into a control.
Outgrowers, collection and payments
Exporters and aggregators buy from many smallholders. Supply contracts, buying centres, farm-gate intake with crates and tare, rejects and advances all need recording. Payment runs can apply deductions for advances and input loans and produce a payment sheet for M-Pesa or bank payment. Outgrowers can see their own deliveries and payments in a portal, which builds trust.
Questions avocado farmers ask
Is this only for exporters? No. A smallholder with a few hundred trees can use the smallholder profile, which switches off features such as outgrowers and packhouse.
Do I need a smartphone in the orchard? Field operations and scouting can be entered by supervisors, and lot and intake records are entered where the fruit is weighed.
Will it make fruit pass export checks? No software can do that. It records what you did so you can demonstrate it, and it blocks actions such as harvesting inside the pre-harvest interval.
Costing: where does the money go?
Avocado margins depend on yield, pack-out and cost. When labour, inputs, transport and packhouse charges are recorded against blocks and lots, you can see cost per hectare and per kilogram, and the profit on each shipment. Without it, a good season can hide a loss-making block and a poor one can hide a good buyer.
Piece-rate pickers and day labour can be paid from work logs, which reduces disputes at month end.
Avocado growers in East Africa
Avocado is grown for export and local sale across Kenya's highlands and in other East African countries, and exporters and aggregators buy from many small farms. The records needed, such as traceability, spray history and maturity, are common to all of them, though each country has its own regulators and certificates. Our system was built around Kenyan bodies, and its structure of farms, blocks, lots and shipments is usable elsewhere. Tell us your market and we will discuss what to adapt.
Packhouse, cold chain and export
In the packhouse, each lot is graded and packed by count size and carton, with pack-out percentages showing recovery. Pallets and cold rooms need temperature logs. For exports, a shipment record holds the buyer order, container, seal and vessel, the document checklist, the commercial invoice, costs and margin, and any buyer claims.
