KRA eTIMS Integration: Connecting Odoo, ERPNext, Your POS or Billing System
Retyping sales into a separate KRA tool is slow and error-prone. Here is how integrating eTIMS with your own system works and what to prepare.
What eTIMS is
eTIMS is the Kenya Revenue Authority's electronic Tax Invoice Management System. Businesses issue invoices that are recorded with KRA in real time. Small taxpayers can use KRA's own tools, but a business that already invoices in an ERP, POS or billing system gains a lot by integrating instead of keying every sale twice. KRA's rules and technical requirements change, so confirm current obligations with KRA or your tax adviser.
Why integrate
Double entry wastes time and creates mismatches between your books and what KRA holds. An eTIMS integration sends invoice data from your own system and prints the KRA-validated receipt number and QR code on the document. Credit notes and returns follow the same route.
What gets sent
Typically: items and tax classes, branches and devices, sales invoices, credit notes, stock movements where required and purchase invoices issued by suppliers. Mapping your item codes and taxes correctly at the start is the part that most affects accuracy later.
When the internet fails
A till that stops during an outage costs sales. A good integration queues submissions and sends them when the connection returns, while showing finance what is pending or rejected and why.
Questions finance teams ask
Do we still need KRA's own eTIMS app? If your system is integrated, invoices flow from it. You still keep your KRA account for registration and other tax tasks.
What about invoices we receive from suppliers? Supplier invoices issued through eTIMS can be retrieved so purchases match what KRA holds.
What if a submission is rejected? The integration shows the reason, and finance can correct and resubmit.
Mistakes to avoid
Registering items without correct tax classes, which leads to wrong tax on invoices. Skipping testing in the sandbox. Letting different branches use different item codes for the same product. Not training cashiers on what to do when an invoice is rejected. A short checklist at go-live prevents these.
Tax invoicing in other countries
Other revenue authorities run their own e-invoicing systems, such as Uganda's EFRIS, Tanzania's electronic receipting and Rwanda's EBM. They have different APIs and rules. If you operate across borders, we can discuss building similar integrations, subject to the API access that each authority provides.
Testing and go-live
Test against KRA's sandbox before using live credentials, run a few days of parallel checking and train staff on what to do with a rejected invoice. Our restaurant POS and retail systems handle eTIMS through a shared module, and we can integrate systems built by others.
