Day Care and Nursery Management Software in Kenya: Check-In, Ratios, Parent Reports and Fees

2 November 2026 · 5 min read · By Zinen Technologies

Parents want to know their child is safe and what happened today. Centres need ratios, health records and fees under control. Here is what good day care software does.

Why day cares in Kenya are moving off paper

Most day cares and nurseries start with an attendance book, a fees notebook and a WhatsApp group with parents. That works with a dozen children. It stops working when you have several rooms, staff on shifts, children with allergies, parents who pay at different times and an inspector who asks for records. The risk is not only lost paperwork. It is a child collected by the wrong person, a room with too few adults, a missed dose of medicine, or a parent who feels left in the dark.

Day care and nursery management software replaces these scattered records with one system that connects the door, the rooms, the parents, the health records and the fees.

Safe drop-off and pick-up

The most important moment of the day is hand-over. A tablet kiosk at the door can check a child in with a parent's phone number and PIN, scan a QR pickup card or accept a one-time code for someone collecting on the parent's behalf, such as a driver or relative. The system keeps a list of who may collect each child and who must not, and a manager override requires a recorded reason. A temperature check at arrival and late pick-up fees can sit on the same screen.

This replaces a signature in a book with a record that shows who collected which child and when, which is useful for safety and for any later dispute.

Staff-to-child ratios in real time

Ratios are about safety and licensing. The number of children each adult can safely look after depends on age, and it changes through the day as children arrive, nap, move rooms and go home. Software that shows the live ratio per room, and logs every breach, lets a supervisor move a teacher before a room is short, and gives you evidence of how you managed it.

Room moves, safe-sleep timers and food alerts belong on the same room board, so teachers handle logging, safety and ratios on a single tablet.

Daily logs and parent reports

Parents ask the same questions every evening: what did they eat, did they nap, were they happy, did they hurt themselves. A teacher with a tablet can log a meal, nap, nappy change or activity with one tap, for one child or the whole room. The system builds the daily report and shows it in a parent portal, with photos only where consent has been recorded. A report link can even work without logging in, which parents appreciate.

Done well, daily reports reduce the number of anxious phone calls and give parents a reason to stay.

Medicine, incidents, immunisation and allergies

Health records are where mistakes are most costly. Parents should authorise medicine in writing, a second adult should witness each dose and the history should stay with the child. Incidents should be recorded with parent sign-off, and illness exclusion rules applied consistently. Immunisation schedules and growth screening are easier to follow when they live in the child's record, and a menu that is checked against allergies prevents the most avoidable accidents.

Admissions, waiting lists and fees

Enquiries arrive by phone, WhatsApp and walk-in. A single list that records the enquiry, the tour, the priority on the waiting list and the offer sent to the parent means no family is forgotten when a space opens. Parents can answer offers online and you can enrol with one click.

Fees are the other half of the business. Fee plans with proration for part-month starts, sibling discounts, sponsors and extras feed a billing run that produces real invoices. M-Pesa STK push and Paybill payments are matched to the right child, and reminders and statements go out without anyone chasing by hand.

Staff, compliance and transport

The centre depends on its team. Clock-in, rota, leave, certificates and licences with expiry dates keep staffing visible. Fire drills, safety checklists and visitor records are easier to produce when they are recorded as they happen. If you run a bus, a route that cannot be closed while a child is still on board prevents a serious mistake. Children's data also needs care, including consent for photos and a process for erasure requests under data protection law.

What to ask before you choose software

Ask whether the system works on a tablet at the door and in each room, whether parents get a portal and not just SMS, whether M-Pesa is supported, how medicine and incidents are recorded, what happens when the internet is slow, and who supports you when something goes wrong. Ask to see it with your own rooms and age groups. Avoid systems that only handle fees and ignore safety, or only handle learning and ignore the door.

Day cares in Uganda, Tanzania, Rwanda and Ghana face the same daily questions, and payment methods differ, so ask about local mobile money.

Questions day care owners ask

Do parents need to install an app? The parent portal works in a browser on any phone, and daily report links can open without logging in.

Can we use it with a slow connection? Tablets need a connection to sync, so ask how your centre's network and offline behaviour are handled during setup.

Can one system run several centres? Yes. A group can share parents, fee plans and reporting while each centre keeps its own rooms and staff.

Is it only for babies and toddlers? No. Rooms, ratios and activities can be set up for any age group your centre serves, including after-school care.

Mistakes centres make with records

Letting several people keep separate lists of authorised collectors. Recording medicine on loose paper that is never filed. Discovering a room was short of staff only after the fact. Not keeping consent for photos. Chasing fees by phone without a statement the parent can read. Each is easier to prevent when the information lives in one system with clear permissions.
