Choosing a Restaurant POS in Kenya: M-Pesa, eTIMS and Kitchen Printing
A restaurant till is more than a cash drawer. Here is what to check before choosing a POS in Kenya, from staff approvals to eTIMS.
A restaurant POS is not a retail POS
Shops scan items and take payment. Restaurants run tables, courses, modifiers, kitchen tickets, split bills and a team of staff handling money. A Restaurant, Hotel and Bar POS System is built around those realities: floor plans, tables, guests per table, table moves and station printing.
Control the people who handle the money
In many restaurants the biggest loss is not at the door but at the till: voids, discounts and unrecorded orders. Look for staff login by card, PIN or fingerprint reader, a clear role hierarchy and approvals for sensitive actions. When a waiter needs a manager's authorisation for a void, and the approver is logged, behaviour changes. Audit trails of logins, discounts, table moves and reprints make disputes easy to resolve.
Kitchen, bar and pizza stations
Orders should reach the right place first time. Separate printers for kitchen, bar and other stations, with routing rules by order type or area, reduce shouting across the pass. Kitchen tickets that carry the same receipt number as the customer's bill help staff match orders. Takeaway orders should go to the kitchen marked for packing and convert to dine-in on the same receipt when a customer decides to stay.
Payments Kenyans actually use
A till that takes only cash and cards misses how customers pay. Look for M-Pesa through Daraja STK push, Airtel Money, bank notifications and card or mobile links, plus a way to record a manual PDQ payment. Matching payments automatically to the open order avoids cashiers hunting through SMS messages.
eTIMS and delivery apps
Receipts must follow KRA requirements. Ask whether the POS handles eTIMS as part of normal operation or leaves you re-keying sales. If you sell through Uber Eats, Glovo or Bolt Food, orders from those platforms should arrive in the POS rather than on a tablet next to it.
Questions restaurant owners ask
Can one POS run several branches? Yes. A multi-outlet setup lets each selling point have its own printers while management sees combined reports.
Can waiters use tablets? The POS runs in a browser or app on tablets, phones and PCs, with printers on the network.
What happens during a power or internet cut? Offline mode keeps taking orders, and printing continues on the local network.
Mistakes to avoid when choosing a POS
Choosing on price alone is the common one: a cheap till without staff approvals or station printing costs more in leakage and chaos. Another is buying a POS that cannot deliver eTIMS receipts. A third is ignoring stock: if sales do not reduce inventory, food cost is a guess.
Ask for a demonstration with your own menu, tables and printers, not a generic one.
Restaurants in East Africa and Ghana
Mobile money is the default payment for many customers in Kenya, Uganda, Tanzania, Rwanda and Ghana, though the providers differ by country. Our POS supports M-Pesa, Airtel Money and several banks today. If your restaurant is outside Kenya, tell us which mobile money and tax invoicing system apply, since local integrations depend on the available APIs.
Offline mode and stock
Internet drops. A POS with offline mode keeps service running and syncs later. Finally, sales should feed stock and recipe costing, which is where inventory management for multi-branch restaurants comes in.
